ZRG STUDIOS · SERVICE POLICIES
Privacy Policy
Effective and last updated: October 15, 2026
This policy describes information handled by Healthy Gamers, operated by ZRG Studios, including optional workout connections and Discord features. Exercise records and photographs can reveal personal information; share only what you are comfortable making available to the people described below.
What we collect
- Account information: a Google account identifier, verified email address and name when you use Google, or a Discord user identifier and display name when you use Discord, plus your chosen guild display names, races, legacy character styles, memberships and organizer permissions.
- Workout and game records: activity category, workout date, duration, notes, source and provider activity or Discord message identifiers; review status and notes; character progress, participation and raid contributions.
- Content you submit: proof images, optional guild-feed photos, posts, comments and emoji reactions.
- Connection information: linked Discord user identifiers, selected guild destinations, synchronization status and encrypted provider authorization tokens. Temporary verification state may be stored during a provider sign-in challenge.
- Operational information: session and security records, request information such as IP addresses and error logs used by the application and its hosting infrastructure.
How we use information
We use this information to sign you in, separate access between guilds, review workouts, prevent duplicate imports and abuse, calculate game progress, display guild activity and maps, send configured Discord announcements, and operate, troubleshoot and back up the service. Healthy Gamers does not sell your personal information or use your workout records for advertising.
Who can see information
Guild members can see the guild's feed, member identities and game progress, workout-event summaries and social interactions. New workout photos and optional time screenshots are shared with guild members in the feed. You can upload up to three photos without a separate guild-photo upload. Older private evidence remains accessible only to its owner and guild organizers; it is not automatically republished. Removing shared photos from the feed does not delete evidence retained for organizer review.
Guild organizers can access workout submissions and evidence to review check-ins. Authorized service administrators may access stored data, uploads and backups when maintaining the service or handling support, security and removal requests. Membership in one guild does not authorize access to another guild's protected records.
If Discord announcements are configured for a guild, people who can access that Discord channel may see workout and game-event summaries, even if they are not members of the website guild. Messages explicitly submitted on Post to Discord share their message text with that channel and All guild updates. Automatic announcements include guild/display names, activity type and duration, review state, XP or damage and raid milestones as applicable. Website workout submissions start with Share to Discord and Include workout photos enabled when a channel is configured. You can turn photos off for a text-only post, or turn workout sharing off entirely. Garmin workouts use saved per-guild summary and photo choices, both initially on, and post once after organizer approval. Turning Garmin sharing on does not repost earlier workouts. Only shared workout photos can be included; older private evidence, workout notes, GPS routes, health summaries and provider credentials are excluded. Pictures posted to Discord are subject to that channel’s audience and retention rules; turning sharing off later does not remove an already delivered message.
Google, Garmin and Discord
Google sign-in: Google verifies your identity. Healthy Gamers retains the identity information listed above, and does not retain Google access or refresh tokens or collect your Google password.
Discord sign-in: Discord verifies your user identifier. We request identification without your email, and retain your identifier and display name. This same verified identity links your workout posts in configured guild channels; you can pause those imports without losing sign-in. Discord access and refresh tokens are used only during sign-in and are not retained. Connecting another sign-in method requires signing into your existing Healthy Gamers account first; accounts are not merged by matching names or email addresses.
Garmin: if you choose the hosted community connection, your Garmin email, password and any verification code are processed to sign in to Garmin. The application does not save your Garmin password or verification code in its database. It encrypts the authorization tokens needed for subsequent synchronization, and any temporary verification state. Imported workouts are saved to the guilds you select and await organizer review.
The connector retrieves recent activities and saves their activity identifier, workout date, duration, activity name/type and available distance, elevation, sets and reps. It does not save route coordinates, heart-rate records or calorie data from those activity responses. The community connector is not an official Garmin integration. The optional advanced bridge instead uses a revocable personal synchronization key.
Discord: linking your Discord account records your Discord user ID. When a guild has workout imports enabled, the bot reads messages and attachments in the configured channel to recognize account-link requests and #workout submissions. Eligible workouts from linked members are copied into the website as check-ins awaiting review, with their evidence and message identifier. The one to three photos attached to a #workout submission are copied into that guild’s feed by default. New website workout photos and time screenshots are also shared with their guild. Older private uploads stay private. Posts that cannot be imported leave a guild-scoped message identifier and short explanation so the member or organizer can correct them. Other channel messages are not stored as feed posts.
Optional Discord Linked Roles: when you explicitly verify your Healthy Gamers account through Discord authorization, we send Discord a yes/no indication that you have a verified website account. We do not send your workout history, proof, email address or guild activity through Linked Roles. Discord decides role eligibility using the server's configured rules. This metadata is updated when you explicitly verify again, rather than through continuous background synchronization. Authorization tokens used for this verification are not retained for future updates. Disconnecting workout imports on this website does not clear metadata already sent to Discord; manage or remove the Linked Roles connection in Discord.
Stopping Discord workout imports prevents future imports and retains the separate sign-in method. Removing Discord under Sign-in methods also stops its imports; a connected Google method is required so you retain access to this account. Neither action removes verification already shared with Discord or original Discord messages. Removing a message in Discord does not automatically delete a previously imported website check-in. Provider websites and apps handle information under their own policies: Google, Garmin Connect and Discord.
Retention and your controls
There is currently no automatic expiry for accounts, workout history, raid records, posts or uploaded images. These records support your journal and shared guild history. Operational backups can contain earlier copies of records and uploads.
You can edit your adventurer profile, choose or change which guilds receive hosted imports, disconnect providers and revoke a bridge synchronization key. Disconnecting the hosted Garmin connection clears its stored authorization and verification state; it does not delete workouts already imported. You can remove a photo you shared to the guild feed using its photo controls. Pausing raid participation keeps your membership and history.
Full account deletion, access to stored information, and other correction or removal requests currently require administrator assistance. Ask the administrator about records that belong to shared raid history and any backup copies when making a request; this page does not promise an automatic deletion period.
Privacy questions and requests
Contact your guild organizer and ask them to connect you with the ZRG Studios administrator who operates Healthy Gamers. If you do not yet have a guild, contact the person who invited you and ask for that administrator.
Explain whether you need access, a correction, removal or help with a privacy concern, but do not post private evidence or credentials in the guild feed.
Changes to this policy will be published here with an updated date. The Terms of Service describe the rules for using Healthy Gamers.
